Notification

Overview 

The Auvenir system will send out emails to relevant users when they are invited to use the application for the first time, with instructions regarding the setup of Multi Factor Authenticator (MFA). 

In addition, users will receive a daily email highlighting updates related to their tasks, including audit cases, review notes, comments, requests, etc.  

 

Key functions 
 The notification feature is comprised of the following functionalities: 

  • Onboarding Email 
  • Daily Update Email 

 

Onboarding Email: 

An email will be sent to different users of the MTO team, 3rd-party vendor and Authorized Requester (AR) regarding onboarding. 

  •  MTO team/3rd party vendor 

Users like MTO auditors or 3rd party vendor audit contacts will receive a notification from the platform when onboarded by MTO coordinator via the Firm Admin Portal (See FAP) for the first time. The Auvenir Customer Success (CS) team can support the onboarding via our internal User Management System (UMS) upon request. 

If the MTO coordinator/Auvenir CS team invites a user via FAP/UMS, the email content will include MFA setup and onboarding instructions for the user to follow. 

  • AR  

MTO coordinator manages the AR audit contact information inside FAP. There are two ways to trigger the invitation of an AR audit contact.  

  • Auto-invite: After an audit case is pushed to state ‘Ready to execute’, the associated AR audit contact will receive the onboarding email if this is the first time being onboarded. This functionality is enabled for External Compliance Audit and Self-Serving Risk Assessment only. 
  • Manual invite: MTO team can manually invite an AR audit contact at any time they desire. 

 

Daily Update Email 

Daily update emails are role specific and are sent overnight. If there are no updates, the user shall receive no email notifications for that day.  

Users are divided into three groups: MTO auditor/coordinator, 3rd party vendor audit contact, and AR audit contact. The following describes the user specific content of the emails. 

Email sent to MTO auditor/coordinator: 

  • Audit case status updates 
  • Request updates 

Email sent to 3rd party vendor audit contact: 

  • Audit case status updates 
  • Request updates 

Email to be sent to AR audit contact: 

  • Request updates
