Firm Admin Portal (FAP)
Overview
This feature will provide authorized users such as an MTO coordinator with a centralized platform to manage user information as well as application access and permission for all relevant user groups, i.e., MTO audit team, 3rd-party vendor audit contact, and Authorized Requester (AR) audit contact.
Key functions
Authorized user (e.g., MTO coordinator) has access to the following functionalities:
- Onboard new users
- View and manage user information
- Delete or suspend users
- Manage user permissions
- Manage organization properties
- Filter and search
Onboard New Users:
When an authorized user (e.g., MTO coordinator) accesses the FAP, they can view and manage user access and information for the Audit team and ARs on two separate views.
Under the Audit team view, the MTO coordinator can onboard new users from the MTO audit team and 3rd party vendor.
Under the AR view, the MTO coordinator will not be able to add new AR users. Existing AR population (along with their profiles) will initially be populated via a one-time data upload (happening in the backend). MTO audit team can add more AR users by using the Import functionality available inside the application.
Note: Following an update of AR population inside the application, the MTO coordinator should use the ‘Refresh’ functionality inside the FAP to see consistent information between the FAP and application.
View and Manage User Information:
Under the Audit team view there are two subtabs, MTO audit team and 3rd-party vendor. On both views, the MTO coordinator can view and edit existing auditor users information such as email addresses and roles.
Under the AR view, the MTO coordinator can view and edit existing AR user information such as name, email address, office address and contact details.
Delete or Suspend Users:
Under the Audit team view, for users from the MTO audit team and 3rd party vendor with a pending status, the MTO coordinator can only delete the account. However, for users with an active status, the MTO coordinator can choose to delete or suspend the account. The above can be done for one or multiple users at the same time.
Under the AR view, the MTO coordinator can view agreement status and AR portal access of the AR users. Unlike the above wherein the MTO coordinator could delete or suspend auditor user account inside the FAP, MTO audit team can terminate/suspend an AR user account from the application only.
Manage User Permissions:
Under the Permissions tab of the FAP, an authorized user such as the MTO coordinator can configure application permission settings for users such as the MTO auditor.
Note: Post configuring permission settings, the coordinator can choose to undo the action and reset to default settings.
Manage Organization Properties:
The organization properties section contains the organization (MTO’s) account information, address and contact details. This section is frequently used as a source of information for common tools used in an audit project. Therefore, authorized users such as the MTO coordinator can edit this section as desired to make sure the information is up to date.
Filter and Search:
Under both the Audit team and AR view, the filter functionality will help an authorized user (e.g., MTO coordinator) to filter out users based on criteria such as user role and status (active, pending or suspended). In addition to the above, the MTO coordinator could search for a user by the name, email, AR agreement number or AR legal name.
